QuickBooks Online to QuickBooks desktop Conversion

A lot of people has been asking the correct steps to convert QuickBooks online to QuickBooks desktop, so I thought of writing about it. To accomplish the project follow the instructions step by step.

Step 1:  Login to your QuickBooks online account & Go to the Company tab and select Export Data from the More drop down menu.

Step 2:  Start the export interview.

Step 3:  Select data to import. (list or list & transaction )

Step 4:  Select your version of QuickBooks desktop edition & click Next.

Step 5:  Read and approve special conditions.  Important:  This step tells you how your data will be changed after the export.

Step 6:  Enter contact information. (name & email id)

Step 7:  Complete export request.

Once done you’ll be getting an email with steps to complete the export conversion within 24 hours.  After you receive it, follow those steps to open the file in your QuickBooks desktop edition.

Step 8:  Go to your company Home page in QuickBooks Online & click on Home icon.

Step 9:  Click the task to download the company file you created.

Step 10:  Choose the option to move your data to a desktop version of QuickBooks Online.

Step 11:  Click Download

Step 12:  A pop-up window will appear and ask you where you’d like to save the.  Name the file and click Save:

Step 13:  start Quickbooks you want to use and make sure you close all companies and windows in it..  Now click Convert.

Step 14:  The conversion process will now begin and you’ll see a status bar. Time may vary depending of the file size.

Step 10:  When you’ve located the certificate, click Yes, prompt each time or Yes, this time then click Continue.

Step 12:  You’ll get a pop-up window confirming that you’ve granted access.  Click Done.

Step 13:  There’s some final steps to read through which give you advice about how to proceed with the conversion, including confirming that your data successfully converted.  Read through and perform the final steps as desired then click Finished..

Now Enjoy the QuickBooks Desktop version.   😉

  1. Hi, Just want to leave a note to ask all repliers to questions about converting from QBO to Desktop. PLEASE, before you start your answer, make it clear that this concerns QBO USA ONLY!
    Unfortunately for QBO users everywhere else, there is no mapped automated way to convert back from QBO to Desktop version.

    If you are in a real estate business and have a lot of bank reconciliations, then my advice to you is to stick Desktop versions. The Online version is way too slow for this industry, in my opinion.

Your instructions for the conversion are very precise compared to many others I have read however the initial instructions to find the tabs: “company file” and “export” do not exist on my online version. I have come to the same conclusion with all the instructions I have tried to follow to perform this conversion and that is because I use the Canadian QBO version, these tabs do not exist for us. What are your thoughts and a possible solution to do this conversion if I am a Canadian subscriber? The desktop version I use is Premiere 2014 (Cdn). Thanks for your input!

    1. Unfortunately Intuit did not provide any way to export to desktop for non-US versions
      I would suggest to create a new company file in Desktop Version & enter the online data as journal entry, In the online version get accountant log & export Journal entries to excel.
      You must be logged in as Accountant so that you have access to all the accounting tools.

  3. I am using QB online plus UK and this (export data) feature is not available, do you know another way to move all our data to Premier 2015 Desktop version ? Thank you

    1. Unfortunately Intuit did not provide any way to export to desktop for non-US versions
